The Secretary of the WBYF Association plays a vital role in keeping the organization organized, informed, and running smoothly behind the scenes. This position is responsible for maintaining accurate records, supporting communication across the board, and ensuring that important information is documented and accessible. The Secretary provides the structure and consistency that help the board operate efficiently and stay aligned throughout the season. A central part of the Secretary’s role is managing board meeting documentation. They prepare agendas in collaboration with the President, record meeting minutes, and distribute those minutes to board members in a timely manner. Their work ensures that decisions, action items, and discussions are clearly captured so the board can track progress, maintain accountability, and reference past decisions when needed. The Secretary also helps maintain organizational records, including policies, procedures, and historical documents that support long-term continuity. The Secretary plays an important role in communication as well. They help ensure that board members receive timely updates, reminders, and relevant information, keeping everyone aligned on upcoming tasks, deadlines, and events. When needed, the Secretary may assist with distributing program-wide communications or coordinating with other board members to ensure messages are clear and consistent.

As one of the elected Officers of the Association, the Secretary serves on the Executive Committee, helping address routine or time-sensitive matters between regular Board meetings when convening the full Board is impractical. The Secretary also participates in the Rules Committee, Property Committee, and Communications Committee, supporting each group by ensuring accurate documentation, clear communication, and consistent application of policies across the program. In addition, the Secretary serves on the Code of Conduct Committee, helping ensure that conduct expectations are upheld, incidents are reviewed fairly, and decisions reflect WBYF’s commitment to safety, respect, and youth-development-first values.

In addition to documentation and communication, the Secretary supports the administrative needs of the board by helping organize files, maintaining access to shared documents, and ensuring that important information is stored in an organized and easily retrievable manner. Their attention to detail and steady presence help create a reliable foundation for the board’s work.
