The Registrar role is handled by the Executive Board but plays a crucial administrative role in ensuring that every player enters the WBYF program smoothly, accurately, and with the information needed for a successful season. This position manages the full registration process—from opening sign-ups to final roster confirmation—helping families navigate requirements and ensuring that coaches and board members have reliable, up-to-date player information. Through organization, communication, and attention to detail, the Registrar helps create a seamless start to each season.

The Registrar oversees the setup and management of the online registration system, ensuring that forms, fees, waivers, and program details are clear and easy for families to complete. They monitor registrations as they come in, track required documents, and follow up with families when information is missing or incomplete. Their work helps reduce confusion, prevent delays, and ensure that every player is properly accounted for before practices begin.

A key part of the role involves building and maintaining accurate rosters. The Registrar works closely with the Coaches Director, Team Operations, and grade-level coordinators to ensure that each team receives complete and accurate player lists. They help manage player movement when necessary—such as late registrations, withdrawals, or grade-level adjustments—while keeping all relevant board members informed. The Registrar also plays an important role in communication. They provide families with clear instructions about registration requirements, deadlines, and next steps, helping reduce uncertainty and ensuring a positive first impression of the program. When questions arise, the Registrar offers guidance or directs families to the appropriate board member for additional support.

In addition, the Registrar collaborates with the Treasurer to ensure that registration payments are tracked accurately and that financial records align with roster data. They may also coordinate with the USA Football Coordinator to verify that players are properly entered into league or certification systems when required.

Overall, the Registrar provides essential administrative leadership that supports the entire WBYF program.
