The Raffle Coordinator The Raffle Coordinator leads the planning, organization, and execution of the annual WBYF raffle program, ensuring it runs smoothly, transparently, and in alignment with the association’s fundraising goals. This role manages the full lifecycle of the raffle, from preparing materials and coordinating ticket distribution to tracking returns and supporting families throughout the process. The coordinator works closely with the Treasurer to maintain accurate financial records and ensure compliance with all required reporting. They prepare packets for each team, communicate clear instructions to coaches and families, and serve as the primary point of contact for questions or replacement materials.
Throughout the season, the Raffle Coordinator partners with Team Operations to ensure coaches and team managers have the information they need, that distribution and collection timelines align with team schedules, and that communication to families remains consistent across all age groups. As tickets are returned, the coordinator organizes and verifies submissions, maintains orderly documentation, and ensures all funds are collected and delivered securely. They oversee the drawing process, confirm winners, and coordinate the delivery of prizes in a timely and professional manner. After the season, the Raffle Coordinator evaluates the process, identifies opportunities to improve efficiency or clarity, and collaborates with the board to refine future raffle operations. This role supports the broader mission of WBYF by ensuring the raffle remains a positive, well-managed fundraiser that benefits all athletes and families.
