White Bear Youth Football Board of Directors — role description and responsibilities.
The Field & Equipment Coordinator provides hands-on operational leadership that ensures all WBYF fields, equipment, and on-site resources remain safe, organized, and ready for use throughout the season. This role supports the daily operations of practices and game days by overseeing field painting, equipment distribution, repairs, storage, and field-level logistics. Through consistent communication and a reliable presence, the Coordinator helps create a professional, predictable, and positive environment for players, coaches, referees, and families.
The Coordinator manages all field-painting responsibilities, including layout, weekly repainting, and maintaining clear and accurate lines, numbers, and markers. They maintain the inventory of paint, painting tools, and field supplies, ensuring materials are stocked, organized, and functional. The role includes monitoring field conditions, identifying hazards, and coordinating repairs with the city, school district, or field-use partners to ensure that playing surfaces remain safe and compliant with league standards. On game days, the Coordinator assists with setup and breakdown, supports field equipment needs, and helps maintain a clean and organized environment.
In addition to field operations, the Coordinator oversees the full lifecycle of equipment for players and coaches. This includes managing preseason handouts, tracking assignments, maintaining detailed inventory records, and ensuring all gear meets safety expectations. Throughout the season, the Coordinator monitors equipment condition, coordinates repairs and replacements, and works with the Treasurer on purchases. They also maintain organized storage areas that are clean, accessible, and clearly labeled, and they manage the end-of-season equipment return process to prepare inventory for the following year.
The Field & Equipment Coordinator works closely with the Vice President to support day-to-day field use, including practice schedules, field assignments, and transitions between teams. They collaborate with the Coaches Director, Team Operations, and grade-level coordinators to ensure alignment across all field and equipment needs. As a member of the Property Committee, the Coordinator contributes to decisions related to equipment, uniforms, field maintenance, and operational logistics, helping ensure that facilities and resources support a safe, organized, and positive experience for all participants.
Overall, the Field & Equipment Coordinator plays a vital role in delivering a well-run football environment. Their leadership ensures that coaches have the tools they need, players have safe and reliable gear, and families experience a program that is consistently prepared, professional, and focused on youth development.
